By paying your deposit, you acknowledge that you have read, understood, and accepted these Booking Conditions.
Tour Price
- Single Room: NZ$4,950 per person
- Twin/Double Share: NZ$3,950 per person
- All prices are quoted in New Zealand Dollars (NZD).
Minimum Numbers & Price Protection
- This tour requires a minimum of 10 fully paying travellers to operate.
- If the minimum number of participants has not been reached by 1 December 2026, Better World Adventures reserves the right to cancel the tour. In this event, all monies paid directly to Better World Adventures will be refunded in full.
- It is our intention that the advertised tour price will be the price you pay.
- Better World Adventures will absorb normal fluctuations in exchange rates, supplier pricing, fuel costs, and operating expenses and does not expect to increase the advertised tour price after your booking has been confirmed.
- However, if an exceptional and unforeseen event beyond our reasonable control results in a material increase in the cost of operating the tour, Better World Adventures reserves the right to apply a surcharge.
- Better World Adventures will absorb the first 5% of any exceptional increase before any surcharge is considered. A surcharge will only be considered where the total increase exceeds 5% of the advertised tour price, and only to the extent reasonably necessary to recover the additional costs incurred.
- Any surcharge will reflect only the additional costs directly attributable to operating the tour and will not include any additional profit margin.
- No surcharge will be imposed fewer than 60 days before the scheduled commencement of the tour, except where Better World Adventures is legally or contractually required to collect a new or increased government tax, levy, or compulsory charge.
- If any surcharge exceeds 10% of the advertised tour price, you may cancel your booking within 14 days of receiving written notice of the surcharge and receive a full refund of all monies paid directly to Better World Adventures.
- This provision exists solely to protect the viability of the tour in the event of exceptional circumstances and is not intended to recover ordinary business costs or improve profitability.
Booking & Deposit
- Your place on the tour is secured only once Better World Adventures has received your completed booking form and deposit.
- A NZ$500 deposit per person is required at the time of booking.
- To allow you time to carefully consider your decision, a 14-day cooling-off period applies. If you cancel your booking within 14 days of paying your deposit, your deposit will be refunded in full.
- After the 14-day cooling-off period has expired, the deposit becomes non-refundable.
Payment Schedule
- To retain your place on the tour, payments must be made by the following dates:
- At booking: NZ$500 deposit
- 1 October 2026: First progress payment of NZ$1000
- 1 December 2026: Second progress payment of NZ$1000
- 1 February 2027: Final balance, which will depend on your selected room type and any additional arrangements confirmed before departure.
- Your booking remains confirmed only while payments are made by the due dates.
Late or Missed Payments
- Payment dates are an important condition of your booking.
- If a scheduled payment has not been received within 7 days of its due date, Better World Adventures reserves the right to:
- cancel your booking;
- apply the cancellation policy below and
- offer your place to another traveller.
- Failure to receive a payment reminder does not remove your responsibility to make payments by the due dates.
Cancellation by the Traveller
- All cancellations must be made in writing.
- The following cancellation policy applies:
Within 14 days of booking
- Full refund of all monies paid.
After the 14-day cooling-off period until 91 days before departure
- Deposit is non-refundable.
- Any additional payments made will be refunded.
90–61 days before departure
- Deposit is non-refundable.
- 50% of additional payments received will be refunded.
60 days or less before departure
- No refund.
- If Better World Adventures is able to fill your cancelled place, we may, at our sole discretion, refund additional monies after deducting any unrecoverable costs and reasonable administration expenses.
- For the purposes of these Booking Conditions, “departure” means the scheduled commencement date of the tour itinerary published by Better World Adventures.
* Cancellation by Better World Adventures
- If Better World Adventures cancels the tour for any reason, all monies paid directly to Better World Adventures will be refunded in full.
- Our liability is limited to the amount paid directly to Better World Adventures. We cannot accept responsibility for airline tickets, visas, travel insurance, accommodation, or any other arrangements booked independently by the traveller.
Itinerary Changes
- Every effort will be made to operate the itinerary substantially as advertised.
- However, circumstances beyond our reasonable control—including weather, transport disruptions, government requirements, local conditions, safety considerations, or supplier availability—may require changes to accommodation, transport, activities, meal venues, or the order of the itinerary.
- Where reasonably practicable, any substitute arrangements will be of a similar standard and quality.
Travel Insurance (Mandatory)
- Comprehensive travel insurance is a condition of travel.
- Your policy should include cover for:
- overseas medical expenses;
- emergency medical evacuation;
- repatriation;
- cancellation;
- personal belongings; and
- personal liability (where available).
- A copy of your Certificate of Travel Insurance must be provided to Better World Adventures no later than the second progress payment.
Emergency Medical & Insurance Information
- To assist you in the unlikely event of a medical emergency, all travellers are required to provide:
- the name of their travel insurance provider;
- policy number;
- the insurer’s 24-hour Emergency Assistance or SOS contact details;
- details of any pre-existing medical conditions that have been declared to and accepted by their insurer, or which may reasonably require assistance during the tour; and
- an emergency contact person.
- This information will be treated as strictly confidential and used only if required to assist emergency medical professionals, first responders, your travel insurer, emergency evacuation provider or your nominated emergency contact.
Fitness to Travel
- This tour includes walking, stairs, uneven footpaths, boat travel, airports, and varying weather conditions.
- Travellers are responsible for ensuring they are medically fit to participate and should consult their doctor if they have any concerns.
- Participants must be able to independently manage their own luggage and climb stairs unassisted where lifts are unavailable.
Passports, Visas & Entry Requirements
- Travellers are responsible for:
- ensuring their passport is valid for at least six months after returning home at the end of the tour;
- obtaining any required visas in advance of entering Vietnam. We will provide advice on this
- complying with airline and immigration requirements; and
- meeting any health or vaccination requirements applicable at the time of travel.
Traveller Responsibilities
- Travellers are expected to behave respectfully towards fellow guests, local people, and our suppliers throughout the tour.
- Travellers are expected to comply with all reasonable instructions given by Better World Adventures and local guides where those instructions relate to health, safety, or the smooth operation of the tour.
- Better World Adventures reserves the right to remove any traveller whose behaviour is dangerous, abusive, illegal, or significantly disruptive to the enjoyment or safety of others. Any costs arising from such removal are the responsibility of the traveller.
Force Majeure
- Better World Adventures cannot accept liability for delays, changes, cancellations, losses, or additional expenses arising from events beyond our reasonable control, including but not limited to natural disasters, severe weather, pandemics, government restrictions, civil unrest, industrial action, transport disruptions, or other force majeure events.
- Where reasonably practicable, Better World Adventures will work with travellers and suppliers to minimise disruption and provide suitable alternative arrangements.
Privacy
- Personal information collected for the purposes of your booking will be used solely for administering your tour, arranging travel services, responding to emergencies, and complying with legal obligations.
- Medical and insurance information will be held securely and treated as strictly confidential.
- Medical and insurance information will be retained only for as long as is reasonably necessary to administer the tour, respond to any medical incident, satisfy legal or insurance requirements, or resolve any complaint or claim.
- Once there is no longer a legitimate need to retain this information, it will be securely destroyed or permanently deleted in accordance with applicable legal requirements.
Acceptance of Booking Conditions
- Payment of your deposit confirms that you have read, understood, and accepted these Booking Conditions and agree to be bound by them.
